Sam Johnson Elementary PTO Standing Rules

Purpose

These Standing Rules supplement and clarify the Prosper ISD PTO Council Bylaws governing all Prosper ISD PTOs. In the event of any conflict, the Prosper ISD PTO Council Bylaws shall take precedence.

For the Executive Board positions defined in Article IV, Section 1 of the Prosper ISD PTO Council Bylaws, the Sam Johnson Elementary PTO shall include the following voting members:

  • Executive Vice President
  • Vice President of Membership
  • Vice President of Fundraising
  • Vice President of Hospitality
  • Communications Secretary

Executive Vice President

The Executive Vice President shall:

  • Partner with the President and perform the duties of the President in his/her absence or inability to serve.
  • Review the Prosper ISD PTO Council Bylaws and maintain a working understanding of all bylaws.
  • Attend administrative meetings with the President and help prepare the agenda for Board and PTO meetings as needed.
  • Provide flexible support to the President and other Board members as needed.
  • Assist during PTO-sponsored events, as availability allows.
  • Carry out other duties as outlined in the Prosper ISD PTO Council Bylaws.

Vice President of Membership

The Vice President of Membership shall:

  • Partner with the President to support PTO leadership initiatives.
  • Review the Prosper ISD PTO Council Bylaws and maintain a working understanding of all bylaws.
  • Attend administrative meetings with the President and help prepare the agenda for Board and PTO meetings as needed.
  • Lead the Annual Membership Drive, including membership incentive selection and fulfillment at the conclusion of the drive.
  • Ensure the Spirit Wear Chair is involved in design and vendor discussions.
  • Create and distribute PTO membership and volunteer information to incoming families throughout the year.
  • Oversee the Volunteer Coordinator Chair (students and parents) and volunteer sign-up platforms (e.g., SignUpGenius).
  • Assist in recruiting committee chairpersons for all vacant standing committees.
  • Assist during PTO-sponsored events, as availability allows.
  • Carry out other duties as outlined in the Prosper ISD PTO Council Bylaws.

Vice President of Fundraising

The Vice President of Fundraising shall:

  • Review the Prosper ISD PTO Council Bylaws and maintain a working understanding of fundraising guidelines and requirements.
  • Attend administrative meetings with the President and help prepare the agenda for Board and PTO meetings as needed.
  • Oversee all fundraising activities for the year, including but not limited to: the annual fundraiser (selection, planning, and execution), Rule the School, Holiday Grams, Hairspray Days, and Spirit Nights.
  • Work with the Communications Secretary to promote all fundraising activities.
  • Oversee Sponsorship Chairs and Grade-Level T-Shirt execution.
  • Ensure all sizing and quantity requirements are obtained.
  • Ensure the Spirit Wear Chair is involved in design and vendor discussions.
  • Work with the Treasurer to manage the fundraising budget, including grant opportunities, gifting initiatives, employer matching programs, promotional items, and appreciation items for staff and students as appropriate.
  • Assist during PTO-sponsored events, as availability allows.
  • Carry out other duties as outlined in the Prosper ISD PTO Council Bylaws.

Vice President of Hospitality

The Vice President of Hospitality shall:

  • Review the Prosper ISD PTO Council Bylaws and maintain a working understanding of all bylaws.
  • Attend administrative meetings with the President and help prepare the agenda for Board and PTO meetings as needed.
  • Oversee Staff Appreciation, Staff Birthdays, Student Birthdays, Event Planning, and Student Programming/STEAM Chairpersons and committees.
  • Maintain vendor relationships, including ensuring compliance with any required permits per the City of Celina and Prosper ISD guidelines.
  • Oversee Spirit Wear and House System Chairs.
  • Assist during PTO-sponsored events, as availability allows.
  • Carry out other duties as outlined in the Prosper ISD PTO Council Bylaws.

Communications Secretary

The Communications Secretary shall:

  • Manage communications and marketing for the PTO, including but not limited to email broadcasts, website updates, bulletin boards, social media, morning announcements, flyers, yard signs, and marquee signage.
  • Maintain PTO and Class Facebook pages, including creating events, managing memberships, and responding to inquiries.
  • Communicate upcoming events and information to Administration, homeroom teachers, Room Parents, Neighborhood Ambassadors, and the school community.
  • Send official notices of meetings to the membership.
  • Capture and maintain photos of PTO events, as applicable.
  • Work with the Vice President of Membership to create informational materials for new students and families enrolling throughout the year, partnering with the Registrar and Campus Ambassadors.
  • Create engaging graphics for events in both digital and print formats.
  • Consistently promote PTO awareness and membership within the school community.
  • Collaborate with the Staff Yearbook Chair to coordinate event photography.

Amendment of Standing Rules

These Standing Rules may be amended by a majority vote of the Executive Board, unless otherwise specified in the Prosper ISD PTO Council Bylaws.
